We’re lucky to work with a fantastic mix of planners, caterers, coordinators, and venues, all doing their part to make sure the client’s experience is seamless from start to finish. Our job? To make the bar the easiest part of the day for clients and fellow event pros alike.


Clear Communication from the Start

Once we’re brought onto an event, the first thing we do is get clear on the details with the main point of contact. That might be the wedding planner, the caterer, or the client directly.

We make sure to lock in:

  • The event timeline

  • Setup and breakdown logistics

  • Service flow, especially around key moments like cocktail hour, toasts and send-offs

This upfront planning keeps everyone on the same page and helps avoid those last-minute “wait, who’s doing what?” surprises.


Understanding the Event Flow

Every event has its own rhythm, and we like to make sure our service fits right in. Whether it’s a cocktail hour before the ceremony, a champagne toast before speeches, or last-call drinks before the final dance, we’re happy to adjust our timing so the bar is always working with the flow, not against it.

Working Alongside Caterers

A lot of the time, caterers bring us in specifically so they don’t have to worry about drinks. We don’t do food, and they don’t have to handle the bar. Simple as that.


That said, we always make sure our setup and service are coordinated with theirs, especially when it comes to:

  • Working diligently in advance to ensure we have the same details on the vent flow

  • Making sure our bar location plays nicely with their food stations or service areas

  • Keeping an eye on the timeline so food and drinks feel like part of the same experience

  • Maintaining a clean and professional setup that matches the vibe of the event

Good vendors stick to their lanes, but great vendors still know how to stay in sync.
